Position Title:Ģżøé±š²µ¾±²õ³Ł°ł²¹°ł
Department: Registrar
Reports to: Chief Academic Officer

The mission of the Registrar’s Office is to ensure the accuracy, integrity, and transmission of student academic records and enrollment-related data by providing convenient access, quality service, and timely responses to requests for information from students, faculty, and staff. A. Summary

The Registrar supports the mission of OCC by managing and maintaining official academic records. Duties include organizing and updating records, issuing transcripts and diplomas, and ensuring compliance with relevant academic policies.

The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties, and skills required of this position.

B. Primary Duties and Responsibilities

a. Oversee Registrar’s office personnel.

b. Establish and implement short- and long-range departmental goals, objectives, policies, and operating procedures.

c. Maintain accurate academic transcripts for both current and past students.

d. Maintain and oversee the Registration Module, the Common Module, and (partly) the Advising Module in Jenzabar.

e. Process applications for graduation.

f. Work with General Counsel on FERPA compliance and communicate regulations with other college personnel.

g. Evaluate outside undergraduate transcripts for transferability.

h. Work with partner institutions in the dual-degree program in exchanging information, including transcripts.

i. Oversee the preparation of the following reports: dean’s list, academic report, new students, non-returning students, and undergraduate and graduate enrollment statistics. The Registrar is also responsible for the timely and accurate reporting of institutional enrollment data to IPEDS.

j. Oversee and maintain departmental budget.

k. Participate in activities common to faculty, including faculty meetings, weekly chapel services, and committee assignments. The Registrar also holds a permanent seat on the Academic Council.

l. Review Academic Policies, Degree Programs, and Courses of Instruction sections of academic catalog for accuracy.

m. Calculate target GPAs for requested students for the ARC and Student Financial Services.

n. Other duties as assigned by the Chief Academic Officer.

E. Minimum Education and Experience Requirements

a. Bachelor’s degree required

b. Master’s degree in education-related field preferred

c. Three years of experience working in instruction or academic administration

F. Work Environment and Physical Requirements

This role primarily works indoors. Repetitive typing and phone work will be done daily. Must be able to walk, sit, stand, bend, stoop, and kneel while completing the duties of this job. Attendance at meetings and note-taking will be frequent. Must be able to work at a computer monitor and focus with precision for lengthy periods of time.
